Estimates, invoices, and how to pay.

We use industry-standard software so your estimate is transparent, defensible, and aligned with what your insurance carrier expects. Here is how the billing process works from first estimate to final payment.

How we estimate: Xactimate

Every estimate we write, for mitigation, repairs, or both, is prepared in Xactimate, the industry-standard estimating software used by most insurance carriers, adjusters, and restoration contractors across the country.

Why it matters for your claim

Because your insurance adjuster almost certainly uses Xactimate too, our line-item pricing comes from the same database they reference. That means fewer disputes, faster approvals, and a scope of work your carrier can review and approve without translating between formats.

What a Xactimate estimate includes

A Xactimate estimate breaks every task into individual line items, each with a unit of measure, a quantity, and a carrier-approved price. You can see exactly what is being done, how much each item costs, and why. Nothing is bundled or hidden.

When your carrier pushes back

When your carrier comes back with a lower number, we negotiate on your behalf using the same Xactimate line items. We know what is defensible and what the standards require, and we will push back when the scope is short.

How we invoice: QuickBooks

Once work is approved and complete, we invoice through QuickBooks. You will receive an email with your invoice attached. That email also includes a secure payment link for bank transfer, more on that below.

Payment options

We offer three ways to pay. We are transparent about the fees on each so you can make the choice that works best for you.

CheckNo processing feeRecommended

This is our most recommended payment method. There is no processing fee, which means every dollar goes toward your project. You can mail a check to our remittance address or call us to schedule a pickup.

Remit payment to:

AM PM Water Damage Restoration
13300 Bothell Everett Hwy
Suite 303-667
Mill Creek, WA 98082
Bank transfer (ACH)1% processing fee, capped at $25

The secure payment link in your invoice email connects to a bank transfer option. The fee is 1% of the invoice total, capped at $25. The exact fee is shown on your invoice before you pay. This amount can change, so always confirm on your invoice.

Credit or debit card2.99% processing fee

We accept card payments over the phone. The processing fee is 2.99% of the invoice total. This is the least cost-effective option and we generally do not recommend it, but it is available if you need it.

My insurance sent me multiple checks, what do I do?

Please call us before depositing or applying any insurance funds. Insurance companies sometimes send payment for repairs before a mitigation invoice has been settled, or issue funds for future work before we have even submitted an estimate. It is not always obvious which check is for what.

Why this matters

If funds are applied to the wrong phase of work, it can create gaps in coverage and leave you short when it comes time to pay for repairs or additional mitigation. We track every invoice and every approval, and we can tell you exactly what each check is for.

Call us when you receive any insurance funds.

Call us when you receive any insurance funds. We will confirm what our correspondence with your carrier has been, clarify which checks are due now and which are approvals for future work, and make sure your insurance is covering everything it should. We will fight alongside you to make sure your home gets back to normal, not just partially covered.

About our work authorization process

Before mitigation or repair work begins, we walk through the scope with you and have you sign a work authorization. It document outlines the work to be performed, your rights as a property owner, and how billing will be handled. If you have questions about what you are signing or what it covers, please ask, we are happy to explain every line.

Questions about your invoice or estimate?

Call us and we will walk through it with you line by line.
